Frequently Asked Questions on eVaka

Who can use eVaka? 

The child’s legal guardians can use eVaka and create their own accounts in the system. 

What languages does eVaka support? 

EVaka can be used in Finnish and English. 

How do I log in to eVaka? 

You may log in to eVaka using a web browser in the address https://varhaiskasvatus.ouka.fi/login. You may choose Log in (username and password) or Authenticate (bank information or mobile certificate). 

With your username you can read and write messages as well as announce attendances and absences. By authenticating (bank information or mobile certificate) you can also make applications, deliver income declarations, view your child’s pedagogical documentation or terminate your child’s day care or preschool places.  

Where do I get an eVaka account? 

You may create your own eVaka account in the address https://varhaiskasvatus.ouka.fi/login. In order to create the account you will need your bank information or a mobile certificate. The account is individual, both guardians should create their own accounts. More information about signing in to eVaka can be found on the Signing in to eVaka.  

Why is my password not valid? 

Your password must include eight (8) characters, including at least one capital letter, one lower case letter and one number. 

I did not receive a password confirmation link to my e-mail. 

Please make sure you have typed your e-mail address correctly when you created the account. Please check if the link ended up in junk mail. Try to create your account again. If the confirmation link still does not arrive, please make a service request to early childhood education and care support at the address https://palvelupyynto.siku.ouka.fi/customerui Please describe your issue in as much detail as possible.  

I forgot my password, what can I do? 

You may change your password on the log in page by clicking on Forgot your password? 

I cannot change my password. I did not receive a new password to my e-mail. What can I do? 

Please make sure you have typed your e-mail address correctly. Please ensure that you wrote the same e-mail address you used when you created the account. Please check if the password ended up in junk mail. If the password still does not arrive, please make a service request to early childhood education and care support at the address https://palvelupyynto.siku.ouka.fi/customerui. Please describe the issue and attach the error code, if the system offers one, with a screenshot for example.  

I cannot log in with my username. 

Please check that you are in Oulu’s eVaka, in the address https://varhaiskasvatus.ouka.fi/login. Have you created an account in eVaka? If you haven’t, you may create one by clicking on Sign in. Try to change your password by clicking on Forgot my password on the log in page. If none of the above works, please make a service request to early childhood education and care support at the address https://palvelupyynto.siku.ouka.fi/customerui. 

Please note that you can also use eVaka by authenticating (bank information or mobile certificate). You may use all the services of eVaka after authenticating. 

How can an adult living with the child who is not a legal guardian read day care messages? 

Messages are only sent to legal guardians. 

How can I change my phone number and e-mail address in the service? 

You may update your contact information (phone number and e-mail address) once you have authenticated your log in to eVaka. Open the Menu and choose My information. Remember to save your changes. 

Is there a mobile application for eVaka? 

No. eVaka works on all general web browsers, and it adapts for the devices screen size and shape. You may create a shortcut on your computer’s desktop to ease access to the service.  

I want to apply for a transfer from one centre to another, how can I do it? 

Fill in a new application on eVaka. When your child has an early childhood education and care place in Oulu’s day care, eVaka will automatically file it as a transfer application.  

My child will be absent from day care for a couple of days. Where and how can I announce the absence? 

Customers of municipal early childhood education and care can announce absences on the eVaka calendar. When you announce absences in the calendar, your child’s day care group can see the updates in real-time on eVaka. Customers of private early childhood education and care must announce absences as agreed with the service provider. 

How can I announce my child’s attendance? 

Customers of municipal early childhood education and care can announce attendance on the eVaka calendar. You may announce attendance for multiple weeks and for multiple children at once. Please note that attendance must be announced by Sunday at 24.00 not for the next week but for the week after that. After this, that week is locked and you may no longer make changes to it. If your child’s attendance changes after the dates are locked, please contact your child’s day care group. 

Announce your child’s attendance as far in advance as you can reasonably know. Attendance and absences can be edited until they are locked. 

Customers of private early childhood education and care must announce attendance as agreed with the service provider. 

Why do I have to announce attendance and absences? 

The announcements are used in planning the staff’s work shifts among other things. With the help of announcements, we can ensure that staff are available always when needed. The information is also used when making food orders.  

Can both guardians see announced attendance, even if they live in different addresses? 

Both guardians can see the announced attendance. 

In what respect does eVaka apply to private day care providers? 

The guardians must file their applications and income declarations through eVaka for private day care and family day care providers. The child’s early childhood education plans are also filed in eVaka. 

Will I receive an e-mail notification for messages in eVaka? 

Yes, if the guardian has saved their e-mail address in eVaka. E-mail notifications are sent when new decisions or, for example, new pedagogical documents (pictures, videos or early childhood education and care plans) are published. You may decide which matters you want to receive notifications for by choosing My information in the Menu. Choose E-mail notifications. 

Will the other guardian see the other guardian’s information? 

No. The guardians can only see their own information on eVaka. 

How can I make a family income declaration if the other adult is not a legal guardian? 

The child’s legal guardians make their income declarations in eVaka and the spouse will deliver their declaration to the early childhood education and care customer payment unit.
