Insurance is an essential part of event safety and risk management. Identifying and accounting for potential risks in advance helps ensure that your event runs smoothly and without any unnecessary concerns. This page provides basic information about insurance options and helps you determine the insurance requirements of your event.

What Types of Insurance Does an Event Organizer Need?

The need for specific types of insurance is dependent on the nature of the event, the number of attendees and the organizer (e.g., private individual, organization, association). Since there are no strict or straightforward guidelines on the matter, you should contact an insurance company for more information. They can help you detail which types of insurance you may need based on the event.

1. Liability Insurance

Liability insurance is the most common type of event insurance. It covers situations where the event causes injury to people or damage to property. In some cases, the police may require proof of liability insurance to be included in the notification for a public event.

2. Accident Insurance

It is important to have accident insurance if the event involves participation from employees, volunteers or other helpers. For paid employees, accident insurance is generally required by law. It is not required to acquire accident insurance for volunteers, however, it is recommended.

3. Property and Equipment Insurance

If the event involves the use of valuable equipment, such as sound systems, exhibition items, or rented equipment, it should be clarified who is responsible for insuring these assets.

How to Determine the Need for Insurance:

Recognize Risks

  • Think about what could happen during the event. Possible injuries, the effect of weather conditions, faults in technological equipment, or damage to assets? Guidelines from the Finnish Safety and Chemicals Agency (Tukes) may help with assessing the risks.

Ask from Professionals

  • Organizations in the event industry, municipalities and rescue authorities may offer recommendations and advice on risk management as well as need for insurance.

Assess which Insurances You Could Need

  • Accident Insurance – If employees, volunteers or other helpers are involved.
  • Liability Insurance – If the event could cause damage or injury to something or someone.
  • Property and Equipment Insurance – For devices, rented equipment and construction.
  • Interruption Insurance –  If the event has to be unexpectedly cancelled.
